Hwb accounts for school staff and learners are automatically created when they are added to a school’s Management Information System (MIS), for example SIMS or Teacher Centre. 

Accounts for governors, ITE students and other education stakeholders, who are not recorded in a school’s MIS, can be created manually.

Hwb accounts for new learners are automatically created once the following data fields are populated in the school’s MIS:

  • legal surname
  • legal forename
  • unique pupil number (UPN)
  • admission number
  • admission date

Hwb usernames and email addresses are created from a user’s legal surname and legal forename. Read the Change of details section to find out how to make changes to a learner’s account.

Hwb accounts are created automatically when a new staff member is added to a school’s MIS. The following information needs to be populated in your MIS:

  • start date
  • staff code
  • SWAC role

Staff moving from one organisation to another can continue to use an existing account.

All governors are entitled to have a Hwb account. This gives them access to tools such as Office 365 and a Hwb email address.

Governor accounts can only be created by a Hwb administrator.

  1. Log into Hwb and go to User Management.
  2. Click View users: View governors.
  3.  Click Add new user.
  4. A warning message will appear: Read the message.
  5. Click I understand to continue (or click Take me back to cancel the command).
  6. Type the forename and surname of the governor in the relevant fields.
  7. Create a password by either clicking Generate Learner Password or manually typing a password of your choice (a mix of upper and lowercase letters and numbers).
  8. Click Add user.

The user account will appear in the View Governors list within the next hour.

REC and LA Hwb administrators can manually create accounts for REC and LA staff

  1. Log in to Hwb and go to User Management.
  2. Click Local Authority/consortia users drop down and select Manage User.
  3. Click Add New User +.
  4. Type the forename and surname of the user in the relevant fields and either clicking Generate Learner Password or manually typing a password of your choice (a mix of upper and lowercase letters and numbers).
  5. There are optional fields for Organisation, Job title, Work email and Contact number (which will help you identify the user once the account has been created).
  6. Click Add User.

The user account will appear in the user list within the next hour.
